Personal Trainer and Fitness Class Cancellation Policy

At Avalon, we understand that life can sometimes get in the way of your fitness goals, and unforeseen circumstances may require you to cancel or reschedule your personal training session or fitness class. However, to ensure smooth operations and accommodate all our clients effectively, we have established the following cancellation policy:

We are committed to providing you with valuable and effective training experiences, whether in private sessions or group classes. To ensure the smooth operation of our training programs and the fair treatment of both clients and trainers, we have established a comprehensive cancellation policy that covers both private training and group classes:

1. Private and/or Semi-Private Training Session Cancellation Policy:

a. Cancellation by the Client:

  • Cancellation Window: For both private training sessions and group classes, cancellations are accepted up until 48 hours before the scheduled appointment or class start time. We understand that unexpected situations may arise, and we appreciate your efforts to inform us in a timely manner.
  • Cancellations made within the 48-hour window before a private semi-private or group class training session will incur a cancellation fee of 50% of the session cost.
  • Failure to provide 24 hours’ notice will result in a charge for the full session fee.
  • Cancellations made on the day of the scheduled private training session will be billed at 100% of the session cost, unless due to illness or emergency.
  • Group Class Cancellations made within the 48-hour window before the scheduled group class will not incur any charges.
  • Cancellations made on the day of the scheduled group class will not be refunded, unless due to illness or emergency.

b. Rescheduling by the Client:

  • You may reschedule your private or semi-private training session with at least 48 hours’ notice without incurring any additional charges.
  • Rescheduling within 24 hours of the scheduled session will be considered a late cancellation (see above). (Special circumstances may waive the fee, at the discretion of the trainer)

c. Cancellation by the Trainer:

  • In the unlikely event that your trainer needs to cancel a session, they will provide you with at least 48 hours’ notice and offer a makeup session at a mutually agreed time. (Illness or emergency can affect notice.)

2. Fitness Class Cancellation Policy:

a. Cancellation by the Participant:

  • If you need to cancel your participation in a fitness class, we kindly request at least 48 hours’ notice before the class start time.
  • Late cancellations (within 24 hours of the class) or no-shows will result in the class fee being forfeited. (Special circumstances may waive the fee, at the discretion of the Teacher)

b. Rescheduling by the Participant:

  • You may reschedule your fitness class reservation with at least 12 hours’ notice without any penalty.
  • Rescheduling within 12 hours of the class start time will be treated as a late cancellation (see above). (Special circumstances may waive the fee, at the discretion of the Teacher)

c. Cancellation by the Instructor/Facility:

  • In rare cases where we need to cancel a fitness class, participants will be notified as early as possible, (at least 48 hours) and efforts will be made to reschedule or offer a refund for the class fee. (Illness or emergency can affect notice.)

d. Cancellation of the monthly membership by the Participant:

  • Failure to provide a 30-day notice when cancelling a monthly membership may result in owing charges for the next month.

e. Cancellation of the monthly membership by the Facility:

  • Avalon is a private gym, and if we find it necessary, for any reason, to cancel your membership, we will notify you in writing, and refund that month’s membership.


f. Cancellation Policy for Gym Rental for Classes or Workshops:

  • In the event of a cancellation for renting the gym space for classes or workshops, a minimum of 14 days prior notice is required to receive a full refund. Cancellations made within 7 to 13 days of the reserved date will be refunded at 50% of the total rental cost. No refunds will be issued for cancellations made less than 7 days before the scheduled rental date. We appreciate your understanding and cooperation.

General Notes:

  1. Cancellations and rescheduling requests must be made through our booking system or by directly contacting the facility during working hours.
  2. The cancellation policy applies to both individual and group sessions..
  3. Illness or Emergency Exception: In cases of illness or emergencies, we understand that cancellations might be necessary. Whether you are enrolled in private training or a group class, if you experience such a situation on the day of your appointment or class, please notify us promptly. In these cases, you will not be charged for the cancelled session or class.
  4. Rescheduling: If you need to reschedule your private training session or group class, we encourage you to contact us as soon as possible. We will do our best to accommodate your request based on trainer availability for private sessions or class capacity for group classes.
  5. No-Show Policy: For private training sessions and group classes, if you fail to attend without providing any notice, the session or class will be considered a no-show. Private training sessions will be billed at 100% of the session cost, and group class fees will not be refunded.
  6. Communication: All cancellations, rescheduling requests, and notifications related to illness or emergencies should be directed to our administrative team or your designated point of contact. You can reach us via 206-714-6894 during our business hours.
